A - A. Paper Submission and Publication Policy for ASERD
Conferences :
A1. All papers must be original and must not have been published
elsewhere before or after submission to an ASERD conference.
A2- A2. All authors and co-authors must obtain permission from or
inform their respective Department Head, Principal, Supervisor, or
Guide before submitting their paper to an ASERD conference.
A3. All authors and co-authors must provide accurate affiliation
details in the paper.
A4. The Organizing Committee reserves the right not to accept papers
submitted after the registration deadline.
A5. ASERD accepts papers for presentation only after they have
undergone peer review by two internal or external reviewers.
A6. ASERD may publish the email addresses of authors or co-authors
online when necessary for conference-related purposes.
A7. ASERD will not add, modify, or remove the name of any author or
co-author after registration without the written consent of all
authors and co-authors listed in the paper.
A8. ASERD does not publish any paper that has not been duly
registered.
A9. ASERD is not responsible for verifying the identity of the
original author(s) or co-author(s). The individual who submits the
paper will be considered the corresponding author.
A10. If ASERD receives a complaint regarding the originality or
authorship of a paper and the complaint is found to be valid, the
paper will be immediately removed from publication and conference
records.
A11. ASERD will not republish any paper or abstract that has been
suspended or withdrawn from publication.
B. Attending ASERD International Conferences :
B1. All participants must complete their registration by paying the
applicable registration fee as specified on the official ASERD
conference website before attending the conference.
B2. Participants are advised to regularly visit the official
conference webpage for the latest updates and announcements
regarding the event. Please refresh the webpage to view the most
current information.
B3. ASERD reserves the right to change the conference venue, date,
or format at any time before the event. In such cases, all
registered participants will be notified through their registered
email addresses.
B4. Participants must maintain professional conduct and refrain from
engaging in any form of disruptive, unlawful, or violent behavior
within or outside the conference venue.
B5. Participants must carry a valid government-issued photo
identification document when attending the conference. Failure to
present valid identification may result in denial of entry.
B6. In the event of a shortage of conference materials, ASERD may
provide the Conference Kit after the event via courier or other
suitable means.
Cancellation and Refund Policy :
B7. Participants who arrive after the designated reporting time may
be denied participation, and no refund of the registration fee will
be provided.
B8. ASERD shall not be liable for any financial loss, including
travel, accommodation, or related expenses incurred by participants
due to conference cancellation, postponement, venue changes, or
conversion to a virtual format.
B9. Registration fees are non-refundable if a registered participant
chooses to cancel their participation in the conference, whether
physical or virtual.
B10. No refund will be provided to participants who have attended
the conference (physically or virtually) and have received
conference proceedings, journal publications, certificates, or any
other conference-related benefits.
B11. Refund requests will not be accepted after the issuance of an
official Conference Invitation Letter or Visa Invitation Letter.
B12. As ASERD conferences may be conducted in hybrid, physical, or
virtual formats, the organizer reserves the right to determine the
mode of delivery. No refunds will be granted due to changes in the
event format.
B13. Approved refunds, if any, will be processed to the same payment
method or account used for the original registration payment.
B14. If ASERD approves a full or partial refund, participants must
submit a formal refund request by emailing the conference
coordinator and completing any required refund procedures.
C. Publication in Conference Proceedings and International
Journals/Books :
C1. ASERD reserves the right to select conference papers for
publication in associated international journals, conference
proceedings, or edited books.
C2. Publication in Scopus, Web of Science (WoS), EI, SCI, or other
indexed journals may be considered upon the author's written
request. Authors are solely responsible for all publication-related
fees charged by the respective journal. The review and publication
process may take a minimum of three months.
C3. Conference registration fees are non-refundable if a paper is
not selected for publication in any indexed journal or if the author
later decides not to proceed with publication.
C4. Papers submitted to ASERD conferences or associated conferences
may be considered for journal publication only after substantial
extension and improvement, typically by at least 20%, subject to
editorial requirements.
C5. The second-round review process for ASERD-associated journals
generally requires between 25 and 60 days following the
conference.
C6. All ASERD-associated journals are expected to possess valid ISSN
registration or equivalent publication identification, as
applicable.
C7. Authors requesting printed copies of journals may be required to
pay applicable printing and shipping charges.
C8. The Editorial Board reserves the right to reject any manuscript
during the journal review process. Rejection of a manuscript after
review does not entitle the author to a refund of conference
registration fees.
D - Plagiarism policy
The plagiarism policy ensures authors give due credit to other
authors while referencing and it protects academic integrity of the
research community.
D1. All research papers submitted for publication are checked with
plagiarism detection software to verify its originality and find
similarity percent of research paper. And the papers failing to
satisfy mentioned criteria are sent back to author for
modification.
D2. If plagiarism is detected in research paper just before
publication, the author will be given a chance to resubmit the paper
after necessary modification as suggested by editor. However, if the
editor decides plagiarism is a major issue in the research paper, it
will not be considered further for publication.
D3. If plagiarism/fake identity is suspected or detected in research
paper after its publication, the research paper will be removed from
website till completion of verification. In case few paragraphs are
plagiarized the author will be given a chance to modify the
published paper and the research paper will be restored in website
after editor’s approval.
D4 .However, if ASERD decides plagiarism/fake identity is a major
issue in a published paper and it seriously violates the copyright
of others then the paper will remain removed from publication and
author will be penalized and will be Blacklisted from ASERD and
other Conference Organizers for a lifetime. Also, it will be
mentioned in journal website about the removal from publication as
well as indexing services will be notified about the removal.
D5. Authors republishing their earlier published work
(self-plagiarism) will also be dealt in the same procedure as
mentioned above.
E - Visa Support & Invitation Letter :
E1- ASERD does not directly contact embassies or consulates on
behalf of participants for Visa application. However, ASERD may
provide the registered Applicant’s Details to the email received
from the embassy’s official email id for visa application.
E2- Participants are solely responsible for obtaining a visa and
must independently follow all immigration and travel regulations
applicable to their situation.
E3-The invitation letter is issued only for the purpose of attending
the conference only and is not valid for immigration, employment, or
residency purpose.
E4-The letter may support a visa application but does not guarantee
visa approval.
E5-ASERD bears no responsibility for visa denials, delays, or any
related costs incurred by the applicant.
E6- Any modification or misuse of the invitation letter will render
it invalid, and may lead to the cancellation of conference
participation.
E7- By accepting the invitation letter, the attendee agrees to
comply with international travel laws, conference policies, and
ethical participation standards.
E8 Legal action may be taken against individuals who falsify or
unlawfully use the ASERD’s invitation letter.
F - Declaration:
F1- ASERD is a registered unit of “Unified Research Library and
Publishing (URLP)” which is registered under Govt. of India under
the Indian Partnership Act, 1932.
F2- ASERD is an Independent nonprofit body whose sole aim to promote
the Scientific and Academic Research Activities across the
globe.
F3- All disputes subject to Bhubaneswar, India Jurisdiction
only.
F4- ASERD has all the rights to cancel the Registration at any time
and withdraw the Publication if any participants/Delegates violate
the rules and regulations of ASERD and will take necessary action
immediately.
F5- ASERD has all the rights reserved to publish / withdraw / modify
the paper from conference proceedings or journals at any time.
